Although our customers are generally businesses, not individuals, we do collect and use personal information relating to individuals as part of our activities. This is generally in order to manage all client accounts, working to resolve all telecom-related queries on behalf of our customers. We also process personal data for our historical and current financial records such as for purchase order trails and contract information.

4G Voice and Data Limited pays a data protection fee under the Data Protection (Charges and Information) Regulations 2018 and our key registration number is Z3402130.

By using our websites or by registering for any of the products and services we offer through it, you are confirming to us that you understand and accept that your personal information may be used by us in the manner described below.

What information may we collect?

We only collect the information that we need to provide the contracted service or for our financial records.

This includes the following data:

  • Any correspondence between you and us,
  • Order history,
  • Personal information including (but not limited to) names, postal addresses, telephone numbers and email addresses,
  • Telephone and mobile activity,
  • Personal identification documents,
  • Financial and debit card information.

Where do we get this information from?

You may give us information about you by filling in a form, contacting us by phone, or e-mail, or in person. This includes information you provide when you sign a contract on behalf of a business, when you send your details to us for the point of a service or complete an application form on our website.

Our website uses a cookie control system that gives you the option to allow or block the use of cookies via the browser. Cookies are small files saved to your computer’s hard drive that track, save, and store anonymous information about your interactions and usage of our website. We do not (and will never) use cookies to collect information personally identifiable to you. We only use our cookies to provide you with a tailored and improved experience when using our website.

Information we receive from other sources

We work closely with other organisations, such as business partners and sub-contractors, and we may receive information about you from them. For example, we could gain access to your business contact details via recognised business data providers who collate information from sources including publicly available information such as Companies House. We may also be given your contact details by our primary contact at your organisation.

The categories of information we receive from these sources may include your name, address, e-mail address and phone number, financial and debit card information and personal identification documents.

Our use of the Data – Storing, Processing & Sharing Personal Data

We will only store, process or share your personal data for legitimate business purposes which may include the following:

  • to confirm your identity,
  • to administer your contract,
  • to update and correct our contract records,
  • to keep-track of your organisation’s purchases,
  • for invoicing purposes,
  • to process a user’s request for purposes including (but not limited to) equipment orders, handset exchanges, handset repairs, on-site engineer work,
  • for telecommunication billing/bill analysis purposes,
  • to develop, test and improve our systems,
  • to notify you about changes to our services,
  • to ensure the content of our website is presented in the most effective manner for you and for your computer,
  • to administer our website and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes,
  • to provide you with information, products or services that you request from us or which we feel may be of interest to you
  • to carry out our obligations arising from any contract entered into between you and us or take steps to enter into a contract with you
  • for training purposes, quality assurance or to record details about the products and services you order from us
  • to satisfy and meet our legal and regulatory requirements to include the defending or bringing of claims
  • to carry out credit and fraud prevention checks
  • to carry out market research and to monitor and improve our marketing content

When it is in our legitimate interests

Legitimate interests are our business or commercial reasons for using your data, but even so, we will not unfairly put our legitimate interests above what is best for you. Where we use your data for market research, training, credit reference and fraud prevention checks, defending or bringing claims, improving our business, products services and sending some types marketing, we do so because it is in our legitimate interests of developing and running an efficient and effective business.

We will only retain your personal data for as long as is necessary. The retention period will vary depending on the type of personal data concerned. To determine the retention period, we take into account the nature of the personal data, the purpose(s) for processing it, your relationship with us, any legal and regulatory requirements and any industry standards and guidelines. If you have previously held an account with us and return, we may link your data to your previous account, which will also affect the retention period. Once we no longer need your personal data, it will be securely destroyed.

We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. For this reason, we will only disclose information with the following and only when is necessary for the business activity:

– Third parties which may include (but is not limited to) service providers, consultants, auditors, legal advisors.

Our legal basis for collection holding and using your information

Our legal basis for processing customer data is Consent for the following activities:

– Where we have entered a contract with you. In these circumstances, we may need to process your personal information to fulfil the contract. For example, this may apply if you book to attend one of our events.

– Where we are under a legal obligation to process personal information. For instance, we may be required to collect certain information in accordance with obligations under equalities legislation.

– Communicating with you in relation to products and services that may be of interest, based on your current product/service information.

Protecting your data

We and the organisations that we associate with have robust security measures in place to protect your personal and business information. We check your identity when you sign your initial contract, audit our contract records regularly and encrypt all files that are stored and transferred internally and externally. Additionally, we don’t take card payments over the phone to prevent any fraudulent activity. Finally, where bank statements or other financial information are given as proof of identity/business, all activity is redacted prior to storage and processing.

We only store your personal information for as long as is required for the purpose of the business activity, for legal reasoning or for our financial records. For example, we only retain a copy of your contract for the length of the contract plus three months before all copies are disposed of.

If these terms change

You will be notified immediately should there be any changes made to our Privacy Policy.

Your rights

Data protection legislation provides you with the following rights regarding your personal data:

  • The right to access a copy of the personal data we hold about you (commonly known as a subject access request (SAR))
